Cancellation Policy & Liability Waiver

This Cancellation Policy, Liability Waiver, and Release Agreement (the “Agreement”) is effective immediately upon acceptance by the participant (“Participant”), and governs participation in any trip or experience organized by Inertia Travel.

Liability Waiver and Release Agreement

1. Assumption of Risk: The Participant understands and acknowledges that participation in any activities or events involves risks that may include, but are not limited to, bodily injury, illness, or death. The Participant voluntarily assumes all such risks, whether known or unknown.
2. Release of Liability: To the fullest extent permitted by law, the Participant hereby releases, waives, and discharges Inertia Travel, its
officers, employees, agents, and affiliates (collectively, the “Released Parties”) from any and all liability, claims, demands, or causes of action
that may arise from or be related to participation in any and all events or activities throughout the duration of a group trip.
3. Indemnification: The Participant agrees to indemnify and hold harmless the Released Parties from any and all claims, actions, suits,
procedures, costs, expenses, damages, and liabilities arising out of or related to the Participant’s involvement in any and all events or
activities throughout the duration of a group trip.
4. Medical Treatment: The Participant consents to receive any necessary medical treatment in the event of an injury, accident, or illness throughout the duration of a group trip, and releases the Released Parties from any liability related to such treatment.
5. Binding Effect: This Agreement shall be binding upon the Participant and his/her heirs, executors, administrators, successors, and assigns.
6. Severability: If any provision of this Agreement is found to be invalid or unenforceable, the remaining provisions shall remain in full force and effect.
7. Governing Law: This Agreement shall be governed by and construed in accordance with the laws of the State of Washington, USA. 

Cancellation Policy:

Booking and Payment Terms

  • To secure your spot on a trip, a minimum of a booking deposit is required. This amount is 5% of the total trip cost and varies by trip.
  • Inertia Travel offers installment-based payment plans to allow Participants to pay over time.
  • 20% of your total trip cost is non-refundable and non-transferable, regardless of when you cancel.

 

Cancellation by the Participant

Participants may cancel their booking at any time, subject to the terms below:

  • Before reaching 20% of total trip cost paid:
    No refunds will be issued for any payments made. 
  • After 20% of total trip cost has been paid:
    That 20% becomes non-refundable and non-transferable. Any payments made beyond this amount may be eligible for a refund as follows:

    • Cancellations made 90 days or more prior to the trip start date:
      Refund of amounts paid in excess of the non-refundable 20%.
    • Cancellations made less than 90 days prior to the trip start date:
      No refunds will be issued.

 

Cancellation by Inertia Travel

 

If Inertia Travel cancels a trip due to low group enrollment or internal operational reasons, Participants will receive a full refund of all payments made, including any otherwise non-refundable amounts.

If a trip is cancelled, delayed, modified, or interrupted due to a Force Majeure Event (as defined below), refunds, if any, will be limited to amounts recovered from third-party suppliers. No additional compensation, damages, or reimbursements will be provided.

 

Force Majeure

A “Force Majeure Event” refers to any event or circumstance beyond the reasonable control of Inertia Travel that prevents or materially affects the performance of its obligations. Such events include, but are not limited to:

  • Natural disasters (e.g., earthquakes, floods, hurricanes, wildfires)
  • Acts of God
  • War, terrorism, or civil unrest
  • Government actions, advisories, travel restrictions, or border closures
  • Pandemics, epidemics, or public health emergencies
  • Strikes, labor disputes, or transportation disruptions
  • Supplier cancellations or failures

In the event of a Force Majeure Event:

  • Inertia Travel reserves the right to cancel, delay, modify, or interrupt any trip.
  • Refunds will be limited strictly to amounts recovered from third-party suppliers.
  • Any non-recoverable costs will not be refunded.
  • Inertia Travel shall not be liable for any additional expenses incurred by the Participant, including but not limited to flights, visas, insurance, or personal costs.

By booking a trip with Inertia Travel, the Participant acknowledges and accepts the risks associated with Force Majeure events and agrees that Inertia Travel is not responsible for losses, damages, or additional expenses arising from such events.

Code of Conduct

Participants agree to conduct themselves in a respectful, cooperative, and responsible manner at all times. This includes, but is not limited to, respectful behavior toward fellow participants, Inertia Travel staff, local guides, vendors, accommodations, and members of the local community.

Removal from Trip / Early Departure

Inertia Travel reserves the right, in its sole discretion, to remove any Participant from a trip if their conduct:

  • Violates this Code of Conduct; or
  • Jeopardizes the safety, comfort, or experience of others.

If a Participant is removed from a trip or departs early for any reason, including but not limited to personal choice, dissatisfaction, interpersonal conflict, illness, or behavioral issues:

  • No refunds, credits, or reimbursements will be issued for any unused portion of the trip.
 

Trip Details & Modifications

All itineraries, accommodations, transportation, activities, and included services are subject to change at the sole discretion of Inertia Travel. While we strive to deliver all experiences as advertised, Participants acknowledge that travel planning is dynamic and may require adjustments before or during the trip.

Inertia Travel reserves the right to make changes at any time for reasons including, but not limited to: operational requirements, supplier availability, group size, safety considerations, local conditions, or overall experience quality.

This includes, but is not limited to:

  • Changes to accommodations (including type, category, or specific property)
  • Modifications to itineraries, schedules, or destinations
  • Substitution, removal, or addition of activities, tours, or experiences
  • Changes in transportation providers or methods
  • Adjustments to group arrangements, including roommate pairings

All substitutions will be made in good faith and, where possible, will be of comparable standard. However, exact matches to original accommodations, services, or experiences cannot be guaranteed.

Such changes do not constitute grounds for cancellation, refund, or compensation of any kind. By booking, Participants acknowledge and accept that flexibility is a necessary part of group travel and agree to these terms.

 

By booking a trip with Inertia Travel, the Participant acknowledges that they have read, understood, and agreed to the terms of this Agreement.
